This Privacy Policy explains how the Hospitality and Tourism Association of Botswana (HATAB) collects, uses, stores and protects personal information through this website (hatab.bw / lightbulbideas.studio/hatab), in line with Botswana’s Data Protection Act, 2024.

1. Who we are

HATAB is the Hospitality and Tourism Association of Botswana, representing operators across Air Charter, Airline, Camps & Lodges, Conservation & Wildlife Management, Hotels, Mobile Safari, Services, and Tour Operator sectors. For the purposes of the Data Protection Act, 2024, HATAB is the data controller for personal information collected through this website.

2. What personal information we collect

We collect personal information you provide directly to us, including:

• Contact and enquiry form submissions (name, email, phone number, message content);
• Newsletter subscriptions (email address);
• Membership applications and member directory listings (business name, contact person, physical address, phone, fax, email, website, and photographs submitted for publication);
• Correspondence you send us directly by phone, email or in person.

We also automatically collect limited technical information (such as IP address and browser type) through standard website logs and caching/security services, for the purpose of keeping the site secure and functioning correctly.

3. Why we process your information, and our lawful basis

We process personal information for the following purposes, under the lawful bases identified in the Data Protection Act, 2024:

• Member directory listings — processed with your consent as a HATAB member, to publish and maintain your business’s public listing in the directory;
• Enquiries and contact form submissions — processed to respond to your request, on the basis of your consent in submitting the form;
• Newsletter communications — processed with your consent, which you may withdraw at any time;
• Membership administration — processed under our legitimate interest and contractual relationship with members, to administer membership, billing, and association communications;
• Website security and functionality — processed under our legitimate interest in keeping the website secure and operating correctly.

4. Member directory listings

As a trade association, HATAB publishes a public member directory of tourism and hospitality businesses. Information published in a directory listing (business name, address, contact details, and description) is provided by the member for the purpose of public promotion and is displayed publicly on this website. Members may request correction or removal of their listing at any time by contacting us using the details in section 1.

5. Who we share your information with

We do not sell personal information. We may share personal information with:

• Service providers who process data on our behalf (for example, website hosting, email delivery, and form-processing services), under obligations of confidentiality;
• Government or regulatory authorities, where required by law.

Where any service provider processes personal information outside Botswana, we take reasonable steps to ensure it receives a comparable standard of protection, as required under the Data Protection Act, 2024.

6. How long we keep your information

We retain personal information only for as long as necessary for the purposes described in this policy: membership and directory information for as long as you remain a HATAB member (and a reasonable period after, for record-keeping); enquiry and newsletter data until you ask us to remove it or, where inactive, on a periodic review basis.

7. Your rights under the Data Protection Act, 2024

Subject to the conditions set out in the Act, you have the right to:

• Be informed about how your personal information is processed;
• Access the personal information we hold about you;
• Request correction of inaccurate or incomplete information;
• Request deletion of your personal information, where applicable;
• Object to, or request restriction of, certain processing;
• Withdraw consent at any time, where processing is based on consent (such as newsletter subscriptions);
• Lodge a complaint with Botswana’s Information and Data Protection Commission (IDPC) if you believe your information has been processed unlawfully.
